We are passionate about making our owner’s lives easier by taking their involvement out of the property management process. We believe setting and managing expectations is an integral part in providing outstanding service. PLease read below for an overview of what you can expect from working with us.
We’ll have a conversation about the level, intensity and type of communication that best suits your and the property’s needs. As a company, we follow industry standards and best practices to ensure timely and ongoing communication while also freeing you from the day-to-day involvement.
Extensive Marketing and Leasing Services:
We will market your property through traditional (sign) and new media (Internet and social media) channels including MLS . It is in our interest to lease your property as soon as possible. As such, we will ensure timely showings 7 days a week.
We will attempt to renew existing leases 60 days prior to the lease end term and will renew existing tenants for another year at the same or slightly higher amount. If the current tenant does not renew, we will review actions forward with you and begin advertising the property and arrange showings per the existing lease agreement.
As soon as the property is leased, we will notify and provide you with a copy of the lease agreement for your records. A minimum of one month’s rent and a security deposit will be collected prior to providing the tenant with the keys to your property.
At the time of move-out and move-in, we complete a detailed property inspection to document move-in condition.
We conduct bi-annual property inspections. We provide a quarterly air filter replacement service at an additional fee.
Our comprehensive tenant screening process includes:
A credit report and eviction search on each adult rental applicant.
Verification of applicant’s former landlord’s references and verification of the applicant’s employment or income.
A national “Criminal Background Check” including a search of the terrorist watch list and sex offender database.
Rent Collections & Delinquencies
At UTR Property Management, we do not tolerate delinquent payment of rent. We explain this policy to new residents in order to avoid any misunderstandings that might arise later. Consequently, we are extremely aggressive in the collection of rent. If our immediate communication with the tenant does not deliver results, we are prepared to move forward with the eviction process immediately. We will make every effort to collect rents timely.
Rent Processing & Accounting
Our property management software is a top property management software in the industry. We will provide each owner with a monthly report showing all income and expenses. In addition, we provide a year-end summary statement for your tax purposes showing all of your yearly income and expenses (including property management expenses) for your tax purposes.
Property Maintenance & Repairs
Properties must be properly maintained to ensure the long-term value of your rental investment. In addition, the City of Austin requires for properties to be compliant with current code.
UTR Property Management will initiate repairs to your property up to $400.00,and obtain your approval for amounts in excess.. This excludes repairs deemed by manager or Texas Property Code as emergency repairs or repairs that are required to bring your property into compliance by law, governmental building, zoning, safety and municipal codes, or the restrictive and protective covenants of your homeowners association. We will make an effort to discuss any such emergency repairs and options with you prior to deploying contractors.
If your property is vacant, we will initiate maintenance services to improve the marketability of the property. Services include lawn services, carpet cleaning, pool services, painting and maid services. If any damages were caused by the previous tenant beyond normal wear and tear, we will apply the tenant’s security deposit to return the property to the status quo.
